  1. First, identify which CRM you're using

Common options: HubSpot (free tier great for starters), Salesforce (enterprise), Zoho CRM (mid-market), Pipedrive (sales-heavy), Google Sheets (if you're pre-CRM). Different CRMs = different integration path.

  2. Option A , Native integration (HubSpot & Salesforce)

Meta Ads Manager > Events Manager > Leads Access. Select your Facebook Page. Click 'CRM > Add CRM'. Search for HubSpot or Salesforce. Follow the OAuth prompt. New leads flow automatically to your CRM as contacts.

  3. Option B , Zapier (works for any CRM)

zapier.com free tier: 100 tasks/month. Create a Zap: Trigger = Facebook Lead Ads > New Lead. Action = your CRM (Zoho, Pipedrive, Airtable, Google Sheets, Notion). 5000+ apps supported. Takes 10 minutes.

  4. Option C , Google Sheet fallback (if you're pre-CRM)

Zapier: Facebook Lead Ads > Google Sheets > Create Row. Combine with Sheets email notifications (Tools > Notification rules) so you're pinged in real time. Not scalable long-term but perfect for month 1.

  5. Map fields correctly

In Zapier/CRM setup, map every Meta field (name, email, phone, custom question) to the right CRM field. Skip nothing, custom question answers are gold for sales calls. Test with a real lead submission before going live.

  6. Add a Lead Source tag

Every incoming lead tagged 'Meta Lead Ad , [Campaign Name]' in your CRM. HubSpot: Lifecycle stage > Lead + Source > Facebook. Salesforce: Lead Source field. Without this, in 6 months you won't know which channel drove which revenue.

  7. Set up an alert or auto-reply

New leads should trigger: (1) email to salesperson within 60 sec, (2) auto-reply email/SMS to the lead within 5 min acknowledging receipt. Use HubSpot workflows, Zapier, or Twilio for SMS. This alone doubles SMB conversion.

  8. Weekly reconciliation

Every Monday, compare Meta's Leads Center count vs. your CRM's Meta lead count. If they don't match, the integration is dropping leads. Common causes: expired Facebook token, field mapping issues, missing consent field.

That’s the whole thing.
