Cold email outreach that doesn't land in spam (B2B)
The technical + writing framework for sending 20 to 50 cold emails a day and getting real replies. B2B only.
Use a SECONDARY sending domain
Never send cold email from yourbrand.com, one bad spam report and your primary domain is toast. Buy a variant: getyourbrand.com, try-yourbrand.com, yourbrand.co. Set that up as your cold email domain.
Configure SPF, DKIM, DMARC on the sending domain
In your domain's DNS: add SPF (authorises Google/tool to send), DKIM (signs the email cryptographically), DMARC (tells inboxes what to do with failures). Your cold email tool provides exact records. Skip any = straight to spam.
Warm up the domain for 3 to 4 weeks
Use Mailwarm, Warmup Inbox, or Instantly's built-in warmup. These simulate real conversations: send/receive from your address so Gmail/Outlook build sender reputation. Skip this = automatic spam.
Build a list of 100 to 500 truly relevant contacts
Not 10,000. 100 to 500 people who genuinely fit your ideal customer profile. Use Apollo, Clay, or LinkedIn Sales Navigator. Verify emails via Hunter.io or NeverBounce, bounce rate over 3% flags you as spam.
Write the subject line like a real person
'Quick question about [company name]' or 'idea for [prospect first name]' outperforms 'Introducing our AI platform for enterprise ops'. Lowercase, personal, curiosity-driven. Under 40 characters.
The 4-line email formula
Line 1: personalised opener (something specific to their company). Line 2: reason you're reaching out (relevant, not braggy). Line 3: what you can help with, one sentence. Line 4: small specific question (not 'want to hop on a call?'). Total: under 90 words.
Send at 30 to 50/day, not 200
Volume triggers spam filters. 30 to 50/day per inbox is the current safe ceiling. Need more? Use MORE inboxes at low volume each (5 inboxes x 40 = 200/day) rather than one inbox blasting.
Follow up 3 to 4 times, spaced 3 to 5 days apart
80% of replies come from follow-ups 2 to 4, not the first email. Each follow-up: shorter, less pushy. Follow-up 3: 'Should I close the loop, or is this still on your radar?'. Direct and low-pressure works.
Track: reply rate, positive reply rate, meetings booked
Reply rate 5 to 10% is good, 15% is great. Positive reply rate (interested vs 'not for me') is what matters: aim 30 to 50%. Meetings booked per 100 emails: 1 to 3 is healthy.
